Back to Basics #45 – Planning and Programming – Recording Progress
When a Delay occurs on a Project there are often Disputes about Entitlement and the cause and effect of Events. To demonstrate Entitlement, it is necessary to have adequate (good quality, accurate and auditable) records. The following should be considered during the Project:
1. Keeping a record of the actual Critical Path. Ideally this could be in the form of Programmes and narratives explaining the Programme. This will help demonstrate the Events have had a Critical Impact on the project.
2. Keeping a record of the Time and Resources (including Materials, Labour and Plant) required to carry out additional work. Useful records would include Timesheets, Progress photographs and Invoices.
3. Demonstrating the impact of the Event on other activities and on the Critical Path. Ideally this would be shown on the Programme. It may also include photographs or marked up drawings showing activity and/or inactivity.
4. Demonstrating the Actual Progress on a day-by-day basis. This could be in the form of site diaries and labour allocation sheets.
Adequate records are an important part of the Management of a Project. They are crucial in helping demonstrate Entitlement to Additional Time if there is a Delay caused by Changes.
